This Privacy Policy explains how SIA Ellion Trade processes personal data when you use elliontrade.eu, send a business enquiry, request a quotation or otherwise communicate with us.

2. Personal data we process
Depending on how you interact with us, we may process:
- Business enquiry data: your name, company, email address, enquiry type, message, product or part numbers, quantities, destination, timing and other information you choose to provide.
- Business relationship and transaction data: correspondence, quotations, orders, contractual information, delivery and payment-related information, and contact details of representatives of customers, suppliers and transaction counterparties.
- Technical website data: IP address, access time, requested page, browser/device information and security-related server log data generated when the website is accessed.
Please do not submit special-category personal data, personal identity numbers, payment-card data or other information that is not necessary for your business enquiry through the public contact form.
3. Purposes and legal bases
We process personal data only where we have a lawful basis. Depending on the context, the purposes and bases may include:
- Responding to enquiries and preparing quotations: steps taken at your request before entering into a contract (GDPR Article 6(1)(b)) where applicable, and/or our legitimate interest in responding to B2B enquiries and developing commercial relationships (Article 6(1)(f)).
- Performing transactions and contracts: performance of a contract (Article 6(1)(b)) and our legitimate interest in managing business relationships where the contact person acts on behalf of a legal entity (Article 6(1)(f)).
- Accounting, tax, compliance and record-keeping: compliance with legal obligations (Article 6(1)(c)).
- Website operation, security, abuse prevention and incident investigation: our legitimate interest in operating a secure and reliable website and protecting our systems and communications (Article 6(1)(f)).
- Establishing, exercising or defending legal claims: our legitimate interests and, where applicable, compliance with legal obligations.
Where we rely on legitimate interests, we consider the necessity of the processing and the impact on the individuals concerned. You may object to processing based on legitimate interests as described below.
4. Contact form
The contact form sends the information you enter through our hosting environment to sales@elliontrade.eu. Required fields are marked with an asterisk. If you do not provide the required name, email address and message, we cannot process the form or respond to the enquiry. The form is not used to subscribe you to marketing communications, and submitting it does not itself create a contract or binding order.
5. Recipients and service providers
Personal data may be available, where necessary, to:
- SIA Hostnet, which provides the current website hosting infrastructure and related technical services;
- our authorised personnel and professional advisers who need the information for their work;
- suppliers, logistics providers, customers or other transaction counterparties where disclosure is necessary to evaluate or perform the relevant business transaction;
- public authorities, courts or law-enforcement bodies where disclosure is required by applicable law.
We do not sell personal data and we do not use website enquiry data for third-party advertising.
6. International transfers
Our current website hosting environment is provided within the European Union. Because our commercial activity may involve international counterparties, a specific business transaction may require personal data to be disclosed outside the European Economic Area. Where Chapter V of the GDPR applies, we use an appropriate transfer mechanism, such as an adequacy decision, Standard Contractual Clauses or another lawful mechanism available for the specific transfer.
7. Retention
We do not keep personal data longer than necessary for the purpose for which it was collected. As a general rule:
- business enquiries that do not result in a transaction are normally retained for up to 24 months after the last substantive communication, unless a longer period is reasonably necessary for a dispute, compliance matter or legal claim;
- transaction, accounting and contractual records are retained for the periods required by applicable accounting, tax and commercial laws and for any applicable limitation period;
- technical logs are retained according to operational and security needs and the retention settings of the hosting environment, and may be kept longer where needed to investigate a security incident or comply with law.
8. Your rights
Subject to the conditions in the GDPR, you may have the right to request access to your personal data, rectification, erasure, restriction of processing and data portability, and to object to processing based on legitimate interests. If processing is ever based on your consent, you may withdraw that consent at any time without affecting processing carried out before withdrawal.

9. Right to complain
You have the right to lodge a complaint with the Latvian supervisory authority, Datu valsts inspekcija (Data State Inspectorate), Elijas iela 17, Rīga, LV-1050, Latvia, email: pasts@dvi.gov.lv. You may also contact another competent supervisory authority where the GDPR allows.
10. Automated decision-making
We do not use the information submitted through this website for automated decision-making or profiling that produces legal effects or similarly significant effects concerning you.
11. Data security
We use reasonable technical and organisational measures appropriate to the nature of this website and the information processed, including access controls and secure hosting measures. No internet transmission or storage system can be guaranteed to be completely secure.
12. Sources of business contact data
Most personal data covered by this website is provided directly by you. In B2B activity, we may also receive professional contact information from your employer or organisation, another transaction participant, or publicly available professional and company sources. Where the GDPR requires additional information to be provided under Article 14, we will provide it as applicable.

We may update this policy if the website, our data processing activities or applicable requirements change. The current version is published on this page with the update date shown above.
